Membership Termination Policy
Effective: June 01, 2025


Purpose
This policy is intended to uphold the integrity and professionalism of the AIIEC community.
It outlines the conditions, procedures, and rights associated with the termination of
membership.


Scope
This policy applies to all current AIIEC members and to those joining after June 1, 2025. It
governs both voluntary and administrative terminations and remains in force unless
revised or replaced.


Grounds for Termination


Misrepresentation:
Providing false or misleading information about affiliations, student outcomes, or
professional claims.


Breach of Confidentiality:
Sharing sensitive information related to clients, students, members, or AIIEC operations
without explicit permission.


Conflict of Interest:
Accepting commissions or payments from colleges/universities for student admissions (a
prohibited practice).


Unprofessional Conduct: 

  • Spreading rumors or misinformation about members or the organization.

  • Making offensive or derogatory statements in public or digital forums.

  • Engaging in unethical recruitment or self-promotion in member-only spaces.


Violation of Code of Conduct:
Any breach of the Code of Conduct may lead to termination.


Review Procedure


Step 1: Complaint Submission

Concerns may be reported confidentially to the President(s). A preliminary review will
begin within 3 working days.


Step 2: Preliminary Review
A meeting will be held within 7 working days to gather context and evidence from all
parties.


Step 3: Internal Deliberation
Within 7 additional working days, the leadership team will:

  • Review testimonies and documents

  • Conduct follow-up interviews if needed

  • Consult ethical or legal guidelines

Step 4: Outcome & Communication
A formal decision will be shared within 10 working days. Outcomes may include:

  • Dismissal of complaint

  • Warning or corrective action

  • Initiation of termination proceedings

Termination Procedure


If a serious breach is confirmed:

  • A written notice will be sent, including:

    • Nature of the breach

    • Summary of evidence

    • Timeline of events and decisions

  • The member has 3 working days to respond with a final statement or appeal.

Step 5: Final Decision
The final termination decision will be issued within 5 working days of receiving the
member’s response.


Upon termination:

  • All access and privileges are revoked

  • The member will be formally removed from AIIEC records

*Note:* Timelines may be extended during peak seasons (Sept–Dec).

Appeal and Reinstatement


Right to Appeal

  • Members may appeal within 15 working days of receiving the termination notice.

  • Appeals must be submitted in writing with supporting documentation.

Exit Interview
A structured exit interview may be offered to:

  • Gather feedback

  • closure

  • Collect any AIIEC property/resources

Reinstatement

  • Reapplication allowed after 12 months

  • Must include documentation of corrective actions taken

  • Subject to review and discretion of the leadership team

Confidentiality
All proceedings and communications related to termination are strictly confidential to
protect the dignity and privacy of all parties.
